Description
If you want to connect to your Exchange/OWA-only mailbox using POP/SMTP or IMAP/SMTP protocols, you can configure your mail client manually. This article contains settings and guide as to how to connect Outlook to the POP/IMAP service.
This can also be used as a settings guide for third party applications.
Requirements
- An active exchange mailbox in MPexchange with POP/IMPA/SMTP enabled.
- Settings for the mailbox. This will include the server settings as well as the user settings.
The Process
Make sure that you POP and IMAP connection are enabled for your Exchange mailbox:
- Log in to CONTROL PANEL and navigate to the Services > Mailboxes page.
- Click the user's Display Name to view the settings for the user’s mailbox.
- Click Advanced Settings.
- Make sure that POP3 (IMAP4) checkbox is selected. If POP3 (IMAP4) options are not enabled, select them and click Save Changes button.
- Also make sure that the SMTP checkbox is enabled (Not displayed in screen shot below)
Follow the steps below to configure your Outlook.
- Go to your Outlook mail settings from Start > Control Panel > Mail.
- If you cannot locate the Mail icon within Windows Control Panel, try the following steps:
- To the left of the Windows Control Panel, but in the same window, select Classic View.
- If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
- Click the Show Profiles button.
- Click Add for a new profile and specify your Profile Name (can be anything) and click OK.
- Enter display name, email address and the password, then choose Manual setup or additional server types and click Next.
- Choose POP or IMAP and click Next.
- Type in the settings:
- Your Name: Display Name of the user
- Email Address: Email address of the user
- Account Type: Choose POP or IMAP. Note: We strongly recommend to use IMAP.
- Incoming and Outgoing mail servers.
Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. Please log into your CONTROL PANEL to get correct settings under Services > Mailboxes > Resources> Incoming (Outgoing) mail - User Name: Full email address of Exchange mailbox
- Password: Exchange mailbox password.
Important: when using POP/IMAP mailbox to connect to your email account in Microsoft Outlook 2016 via IMAP protocol, authentication may fail due to a Unicode character in your password. To resolve this, avoid using Unicode characters (e.g. ä, ö, £, Ə, €) in the mailbox password. Read this Microsoft Knowledge Base article for more information.
- Click More Settings > Outgoing Server and check My outgoing server (SMTP) requires authentication box
- Switch to Advanced tab and put in the settings, then click OK:
- For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next to This server requires an encrypted connection (SSL).
Note: depending on the Outlook build, you might see SSL/TLS instead of SSL. In this case choose SSL/TLS from the drop-down list. - For Outgoing server (SMTP): enter port 25 or 465 or 587, select TLS in drop-down menu.
Notes:- Exchange 2016 supports only ports 25 and 587.
- Depending on the Outlook build, you might see SSL/TLS and STARTTLS instead of TLS. In this case choose STARTTLS from the drop-down list.
You can also increase server timeout setting to improve performance.
- For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next to This server requires an encrypted connection (SSL).
- Wait for the Test Account Settings process to complete and click Close.
- Сlick Finish.
